# When Should the Boba Bar Open at Your Reception?

## When should the boba bar open at your reception?

Open it during cocktail hour or right after dinner, not both ends of a long reception, because the drinks are only fresh for about four hours from the moment they're made.

Timing a boba bar is less about your preference and more about the actual shelf life of the product. Get this right and every guest gets a fresh drink. Get it wrong and your last guests in line get a worse version of what your first guests got.

## Why does timing matter more for boba than for an open bar?

Cooked tapioca pearls have roughly a four-hour usable window before they harden, so the clock starts running the moment the pearls are cooked, not the moment your reception starts. An open bar can run all night because liquor doesn't degrade in four hours. Boba isn't built the same way, and any vendor who tells you otherwise either doesn't understand their own product or isn't being straight with you.

## Is cocktail hour or post-dinner the better window?

Cocktail hour works well because guests are standing, mingling, and looking for something to hold, and it fills the natural gap while you're off taking photos. Post-dinner works well too, especially for a dessert-adjacent moment when guests want something sweet and photogenic before dancing starts. Both are good choices. What doesn't work is trying to stretch one setup across both windows, since that's six or more hours from first pour to last, well past what the pearls can handle fresh.

## What if my reception runs long?

Lean the later portion of service toward popping boba and crystal boba, since both are shelf stable with no four-hour limit, unlike the cooked tapioca pearls. If you want boba available deep into a long reception, this is the actual solution, not just hoping the vendor keeps making fresh batches on-site indefinitely. Ask specifically how your vendor handles a reception that runs past the four-hour mark.

## Does the color-matched or specialty menu change the timing math?

No. Whether you're running a full custom color-matched [menu](/menu) or the standard lineup, the tapioca clock doesn't change. Milk teas, fruit teas, and specialty drinks like Brown Sugar Boba Milk all use the same pearls unless you've specifically chosen popping or crystal boba as toppings instead.

## Should the bar close before the reception ends?

Usually yes, and that's not a flaw, it's the plan working correctly. A boba bar that closes an hour or two before your reception wraps means every drink served was fresh, not sitting out on the edge of its window. If you want beverage service for your entire reception, that's what an extended service hour is for, priced at $3 per guest per hour with a $200 minimum, with the drinks for that hour included and arranged when you book, rather than stretching one setup thin across too long a stretch.

## Can we do boba as a late-night snack?

Yes, but it needs its own service block with a fresh batch, not the same setup left open all night.

Late-night snacks are a real wedding thing and boba fits the slot well. It's cold, it's sweet, and it's something to hold while people are still dancing. The problem is the same four-hour pearl window. A bar that opened at cocktail hour is not serving a good drink at midnight, and the guests who waited longest end up getting the worst of it.

The workable version is a separate late-night block with pearls cooked for that window. ## Does the season change when we should serve it?

Yes, mainly because cold drinks land differently in July than they do in November.

At a summer Texas wedding, boba during cocktail hour outdoors is genuinely welcome, and guests will come back for a second. Your bar is doing double duty as refreshment, and an outdoor cocktail hour is the strongest slot you have.

At a November evening wedding outdoors, a cold drink is a harder sell. Post-dinner indoors is the better slot then, when guests are warm, seated, and looking for something sweet. If a vendor offers to keep the same boba bar open for your entire six-hour reception without mentioning the pearl freshness window at all, ask directly what happens to quality in hour five. A vendor who's thought about timing will bring it up before you do.
