# How to Plan Boba for a Large School Event

## A boba cart that works fine for 60 people can fall apart at 300 if nobody planned for the difference.

Large [school](/schools) events, homecoming, field day, an all-campus carnival, run on different math than a graduation party. The core question isn't whether boba is a fun addition. It's whether the setup can actually keep pace with your crowd.

## How do I figure out if one bobarista is enough?

Start with the math, not a guess. One bobarista serves roughly 60 to 80 drinks per hour. If your event runs two hours and you expect 300 students moving through the drink station, that's 150 drinks an hour at minimum, which is more than double what one person can handle. Events like that need a second bobarista added, for roughly $225, specifically to keep the line from becoming its own event.

## How much space does the cart actually need?

Plan for about 8 by 6 feet of flat, level ground, plus a standard power outlet within 50 feet. On a school campus, that usually means checking with facilities about which outdoor outlets are live and where they're located relative to your planned drink station, not just picking a spot that looks convenient on a map.

## Does the size of my event change my per-person cost?

Yes, and it works in your favor at scale. The [flat $125 setup and delivery fee](/pricing) gets spread across more guests as your headcount grows, so the per-person cost drops as the event gets larger. A 200 guest event on the Quad Sip package runs $1,975 total before tax, which comes out to $9.88 per person, noticeably lower per-head than a smaller event would run on the same package. For school events with sizable but budget-conscious guest lists, this is genuinely good news.

## Does timing matter more at a large event?

Yes, more than most organizers expect. Cooked tapioca pearls have roughly a four hour usable window before they start to harden, so a caterer needs to time their prep against your actual event schedule, not just show up early and hope. If your event runs longer than four hours, ask directly how the vendor handles that, whether it's staggered prep batches or something else, before you assume it's automatically covered.

## What about toppings, does anything hold up better at scale?

Popping boba and crystal boba are shelf-stable with no comparable time window, unlike the tapioca pearls, which makes them easier to manage across a long event. If your event runs long or has an unpredictable rush, ask your vendor which toppings they're prioritizing and why, since it affects consistency later in the day.

## Can drinks be tied into our school colors or theme?

Yes, drinks can be color matched to school colors, and rainbow jelly tends to be the topping kids gravitate toward on sight, which is worth knowing if you're trying to make the drink table visually part of the event rather than an afterthought. ## What actually breaks at a large event, in practice?

Usually it's staffing math, not the drinks themselves. A vendor who quotes one person for an event with a real crowd is setting you up for a 20-minute line during your busiest hour. The fix isn't a better flavor lineup, it's getting the staffing conversation right before the date is booked, based on your actual expected guest count and how tightly your event window is packed.

3.  What's the exact power and space requirement, and has someone confirmed our venue has it?

5.  If we want an extra hour, how far in advance do you need to know?

## What to do next

Get your realistic total guest count and your event's actual time window locked first, then bring both numbers to your vendor conversation. Staffing and timing decisions should follow from those two facts, not the other way around.
