# How to Plan Boba Catering for an Office Party

Planning boba catering for an office party comes down to three things you need to nail down before you call anyone: headcount, space, and timing.

## Where do I start planning this?

Start with your guest count, because it drives everything else, from [pricing](/pricing) tier to staffing to how long the pearls will hold up. Boba vendors price per guest with a set minimum, so an accurate headcount (not a guess) is the single most useful piece of information you can bring to a first call.

## What does the space need to look like?

Most mobile boba carts need about 8x6 feet of flat, level ground and a standard outlet within 50 feet. That's a smaller footprint than most people expect, similar to a folding table setup, but the flat ground and outlet access requirements rule out some spots. A grassy slope, a rooftop deck without exterior outlets, or a cramped hallway corner can all be dealbreakers. Walk your space before you book and check for both.

## How long should service run?

Standard service windows run around one to two hours, and that has more to do with the boba itself than with staffing. Cooked tapioca pearls have roughly a four hour usable window before they start to harden, so a vendor is timing prep against your event start, not just showing up whenever. If you're running a longer activation, like an all-day office open house, ask about extended service hours rather than assuming the same batch of pearls covers the whole day. Popping boba and crystal boba don't have that time limit, so if your event runs long, leaning on those toppings gives you more flexibility.

## How many staff do I need?

One bobarista handles 60 to 80 drinks an hour, and we plan on 65, so one person covers up to 100 guests, or 65 drinks per hour of service, whichever is smaller. Past that, add a second staff member, because a single-line bottleneck at an office party turns into a 20-minute wait and a lot of people standing around instead of working the room. If your office party has a hard start and end time and everyone shows up in the first ten minutes, factor that surge into your headcount math, not just the total guest list.

## What should I put on the menu?

A boba [menu](/menu) needs some structure. The Boba Bar Experience's tiers run from Double Sip (2 flavors, 2 toppings) up to Quad Sip (4 flavors, 4 toppings), and more choice isn't always better for a workplace crowd. A tighter menu keeps the line moving faster, which matters more at a one-hour office event than variety does. If your office has dietary needs, ask about dairy-free options up front. Any drink can typically be made dairy-free at no charge, and oat milk holds up better than almond does against a strong tea base, so it's worth specifically requesting oat if that's on the table.

## What about branding?

If you want the drinks or signage to match your company colors, most vendors can color-match to a brand palette, and custom menu signage is usually a small add-on rather than a built-in feature. Decide early if this matters to you, because signage needs lead time to produce.

## Ask your vendor this

1.  What's the exact footprint and power requirement for your cart?
2.  What's your standard service window, and how does that relate to your ingredient prep timing?
3.  At what guest count do you bring a second staff member?
4.  Can drinks be made dairy-free, and is there a charge for that?
5.  Can you color-match cups or signage to our brand colors?
6.  What happens if our actual turnout is higher or lower than the headcount we gave you?

## The diagnostic tell

A vendor who doesn't ask about your outlet access or ground surface before quoting you hasn't caught a problem that's happened to them before. That's not experience, that's guesswork, and it's your event that pays for it if the cart shows up and there's nowhere to plug in.
