# How Boba Catering Works for a School Fundraiser

## Booking boba for a fundraiser is less about the drinks and more about logistics your school already knows how to check.

School fundraisers run on committees, insurance requirements, and timelines that don't bend. A mobile boba cart has to fit into that structure, not the other way around. Here's the actual sequence.

## How does the booking process start?

You send your guest count, date, and venue, and get back a quote broken into per-guest [pricing](/pricing) plus flat setup and delivery and a per-bobarista rate. Because there's a 50 guest minimum, this format works for a school-wide carnival or a PTA family night, not a single classroom party. If your fundraiser is expecting fewer than 50 attendees at the drink table, this isn't the right format and you should say so up front rather than finding out later.

## What does the school need to provide, and what does the caterer bring?

The caterer brings the cart, the staff, and all disposables. Your job is the space. Setup needs roughly 8 by 6 feet of flat ground and a standard power outlet within 50 feet. That's it on your end. The flat $125 setup and delivery covers the cart itself, setup and teardown, and travel within 30 miles of DFW, your bobarista is $225 and how many you need follows your guest count and service window, and the 16 oz clear printed cups, dome lids, straws, napkins and ice come with your per-guest rate. Confirm your venue has a real outlet, not an extension cord promise, before the date is locked.

## Does the school need to see proof of insurance?

Almost always, and this is non-negotiable for most campuses. A legitimate mobile food vendor should be insured and able to provide a certificate of insurance on request. Most [school](/schools) districts require this before any outside vendor is allowed on campus, so ask for it during the quote stage, not the week before the event when your facilities office suddenly needs paperwork you don't have.

## How does payment usually work?

A 25% booking fee holds your date, and the remaining balance is due about a week before the event. That gap matters for fundraiser committees, because it means your final headcount and budget number need to be locked roughly seven days out, not adjusted the morning of.

## How many drinks can actually get served in an hour?

One bobarista serves roughly 60 to 80 drinks per hour. If your fundraiser expects a rush right after dismissal or during a specific window, do the math against your total guest count. Busy windows and bigger guest counts need a second bobarista, at an added cost, specifically to avoid a line that eats into your event time. ## What determines when drinks get made?

Cooked tapioca pearls are only good for about four hours before they start to harden, which drives the timing of when a vendor starts prepping relative to your event's start time. Ask your caterer how they're timing the prep against your actual serving window, especially if your fundraiser runs long or has a slow start.

## What's a warning sign when talking to a vendor for a school event?

If a vendor can't produce a certificate of insurance without a delay, or seems unfamiliar with basic school vendor requirements, that's a sign they haven't done many campus events. Insurance and vendor paperwork are not extras, they're baseline requirements most schools already have a process for.

3.  What's the exact footprint and power requirement for setup?
4.  How does the 25% booking fee and balance timeline work against our fundraiser's budget approval process?
5.  If our event runs past the booked hours, what does an extension cost?
