A certificate of insurance, often shortened to COI, is a document from a vendor's insurance company that proves they carry active coverage, and it lists the type and dollar amount of that coverage. It is not the policy itself, it's a summary a third party (your office, a venue, a property manager) can request to confirm coverage exists before letting the vendor on site. ## Why does this matter for a food vendor specifically? Food service carries real, physical risk that a lot of other vendors don't. Spilled hot liquid, a cart blocking an exit path, a slip near an ice-cooled station, a food-related illness claim. If any of that happens and the vendor has no insurance, the liability doesn't disappear, it usually lands on whoever owns or controls the space where the event happened. That could be your office, if it's an in-office event, or the building management, if it's off-site. ## Do venues actually require this? Most venues and many corporate offices already require a certificate of insurance from any vendor before granting access, and this isn't unique to catering, it's standard practice across event vendors of all kinds. If you're booking a boba cart, a food truck, or any outside vendor for an office event, check your building's vendor policy before you book, because you may be required to collect a COI regardless of whether you'd think to ask for one yourself. ## What type of coverage should I look for? General liability is the standard ask for a food and beverage vendor, and it's what covers third-party bodily injury or property damage claims, the most common risk category at a catered event. Some venues also ask for the certificate to name the venue or company as an "additional insured," which extends a layer of that coverage to protect the space itself, not just the vendor. If your building has that requirement, tell the vendor early, because adding an additional insured endorsement can take a few business days to process through their insurance provider. ## What should I actually check on the certificate? Look at three things: the coverage type (general liability, specifically), the coverage dollar amount, and the policy dates. A certificate with an expired policy date is functionally the same as no certificate at all. Don't just confirm one exists, open it and check the dates. ## How do I ask for this without it being awkward? It isn't awkward. Any vendor who does corporate work regularly will have a COI ready to send, often within a day, because they get asked this constantly. Can you add our company or venue as an additional insured if our building requires it? 4. How long does it typically take you to get an updated certificate sent over? 5. Are your event staff covered under the same policy, or separately? ## The diagnostic tell A legitimate, established vendor doesn't flinch at this request, they have a process for it. A vendor who says they'll "look into it," can't produce a document within a few business days, or asks why you need one, likely doesn't carry active coverage. That's a real risk signal, independent of how good their menu looks or how competitive their price is. This is worth checking no matter who you end up booking, boba cart, food truck, coffee service, or full catering.
