# Boba Catering Cost for a Graduation Party

## The real question isn't "how much per cup." It's "how much per guest, all in."

A boba cart quote looks simple until you realize the sticker price per drink almost never includes setup, staffing, or the flat costs every caterer has to cover no matter how many people show up. Here's what that actually looks like for a graduation party.

## How much does boba catering cost for a graduation party?

Expect a per-guest price plus flat setup and delivery and a per-bobarista rate, with a minimum guest count that applies no matter how small your party is. At The Boba Bar Experience, the package price runs $5 to $7 per guest depending on how many flavors and toppings you choose, plus [$125 setup and delivery and $225 per bobarista](/pricing), with a 50 guest minimum. All of that is before sales tax, which is added on the final invoice based on your venue's location. So even a 50 guest party is paying for a real setup, not a jug of tea on a folding table.

## What do the packages actually include?

Three tiers, priced by how many flavor and topping choices your guests get. Triple Sip gives 3 flavors and 3 toppings for $6 per guest, and it is the package we recommend since a milk tea, a fruit tea and a specialty covers just about every guest. Double Sip gives 2 flavors and 2 toppings for $5 per guest. Quad Sip gives 4 flavors and 4 toppings for $7 per guest. Matcha drinks add $1 per guest if you want one on the [menu](/menu), since matcha costs more to source than the standard teas.

## What do the flat fees actually pay for?

The $125 setup and delivery covers the cart, setup and teardown, and travel within 30 miles of the Dallas-Fort Worth area. The $225 bobarista rate covers the trained person working your event, including their prep, travel and teardown time. The 16 oz clear printed cups, dome lids, straws, napkins and ice come with your per-guest rate. If you've ever gotten a "cheap" catering quote that ballooned once setup and staffing got added on, this is the alternative: every number disclosed up front.

## How does guest count change my price per person?

The more guests you have, the less those flat fees weigh on each individual serving, so larger events cost less per head. A 50 guest party on Triple Sip runs $650 total before tax, which works out to $13 per guest once the flat fees are folded in. Push that same package to 100 guests and the total is $950, or $9.50 per guest before tax. At 150 guests it's $1,475. And a 200 guest event on Quad Sip runs $1,975, or $9.88 per person, plus tax. If you're trying to stretch a PTA or booster club budget, this is the lever: fewer smaller events cost more per head than one larger one.

## Are there extra costs I should plan for?

Yes, and a straight vendor will tell you before you book, not after. Some events need a second bobarista to keep the line moving, which runs an added $225, and that depends on your guest count and how long service runs. If your venue is more than 30 miles from the DFW metro, mileage is billed at $2 per mile beyond that radius. Wanting service to run longer than originally booked adds $3 per guest for the extra hour with a $200 minimum, drinks included, and that gets arranged at booking rather than on the night. None of these are hidden fees, they're just line items that depend on your specific event.

## When is a boba bar not worth it for a graduation party?

If your guest count is under 50 and can't realistically get there, this format isn't for you. The 50 guest minimum exists because the flat costs of a cart, a bobarista, and full setup don't shrink for a smaller crowd, so a 20 person backyard party will pay a steep price per head no matter which vendor you call. For a small gathering, a punch bowl or a boba tea run from a local shop will serve you better than any mobile catering setup.

## Ask your vendor this

1.  Is the flat service fee separate from the per-guest price, or bundled in a way I can't see?
2.  What exact guest count triggers a second staff member, and what does it cost?
3.  What's my per-mile rate if my venue is outside their standard radius?
4.  Is the booking fee refundable, and when is the balance due?
5.  Can they confirm the final all-in price in writing before the event, not just an estimate?

## What to do next

Count your actual guest list, not your hoped-for one, and get a written quote that separates the per-guest price from the flat fee. A 25% booking fee is standard to hold a date, with the balance due about a week out, so you'll know your full cost long before the party starts.
