# What Does Boba Catering Cost for a Corporate Event?

Boba catering for a corporate event is priced per guest, not per drink, so the number that matters is your headcount, not your menu.

## How is boba catering priced?

Most vendors, including The Boba Bar Experience, price by package tier per guest, plus flat setup and delivery and a per-bobarista rate. The Boba Bar Experience runs three tiers: Double Sip at $5 a guest (2 flavors, 2 toppings), Triple Sip at $6 a guest (3 flavors, 3 toppings, the one we recommend), and Quad Sip at $7 a guest (4 flavors, 4 toppings). Matcha drinks add $1 a guest if you want one in the mix. On top of that sits [$125 setup and delivery plus $225 per bobarista](/pricing), with staffing set by your guest count and service window, and there's a 50 guest minimum. All prices are before sales tax.

## What does that actually total out to?

At 100 guests on Triple Sip over a two hour window, you're looking at $950 total before tax, which comes out to $9.50 per person all in. Smaller events cost more per head because the flat $125 setup and delivery gets split across fewer people: 50 guests on Triple Sip runs $650 plus tax. Scale up and the per-person number drops. At 150 guests, Triple Sip is $1,475. At 200 guests on Quad Sip, it's $1,975, or $9.88 a person, all before tax. If your event is small, expect the per-guest math to look worse than it does for a 200-person activation. That's not a markup, it's fixed costs spread thin.

## What's included in the flat fee?

Setup and delivery covers the cart, setup and teardown, and travel within 30 miles of DFW, and your bobarista is billed separately at $225. The 16 oz clear printed cups, dome lids, straws, napkins and ice come with your per-guest rate. You are not paying extra for cups or ice on top of your per-guest rate. If a vendor quotes you a bare per-drink number and then tacks on setup, staffing, and cup fees separately, you're not comparing apples to apples with a package quote.

## What can push the price higher?

A few add-ons sit outside the base package. Some events need a second bobarista, which is $225, because one person can only pour 60 to 80 drinks an hour, so staffing follows your guest count and service window together. Travel past 30 miles from DFW is $2 a mile. An extended service hour is $3 per guest with a $200 minimum and includes the drinks for that hour, booked in advance. Custom [menu](/menu) signage is $75. None of these are hidden, they're line items you can choose to add or skip.

## How do booking fees work?

A 25% booking fee holds your date, and the remaining balance is due one week before the event. That's a fairly standard structure for event catering, and it protects both sides: the vendor isn't building a schedule around unconfirmed bookings, and you're not paying in full for a date months out.

## Ask your vendor this

1.  Is your quote per guest, or per drink, and does it include the flat setup fee?
2.  What's your guest minimum, and does it apply even to a small internal team event?
3.  Does the price include cups, lids, straws, napkins, and ice, or are those extra?
4.  At what guest count do you add a second staff member, and what does that cost?
5.  What's your booking fee structure and when is the balance due?
6.  Is travel outside your base radius billed by the mile, and what's that rate?

## The diagnostic tell

If a vendor can't tell you their per-guest rate at your specific headcount within a minute, or if the quote changes shape every time you ask a follow-up question, that's a scheduling and invoicing problem waiting to happen at your event, not just a sales conversation problem.

Get your final headcount locked first. Everything else in a boba catering quote is math built on that one number, so nail it down before you request pricing and you'll get a fast, apples-to-apples answer.
